Job Summary

The primary function of this position is to provide conference planning for the client's full service Learning Center. The role will focus on supporting and executing the events that will create an enhanced workplace experience. Conference Planning Concierge will create experience concepts for other Hospitality Professionals for final execution. They will understand the needs of their customers and direct their actions which will focus on efficient and effective meetings and events.


Key Responsiblities:

  • Schedule conference rooms according to customer meeting requests
  • Follow guidelines set forth by the stakeholders regarding the booking, service, and maintenance of the area.
  • Takes a creative approach on how people collaborate, learn, and get inspired at work will be a key focus for this position.
  • Support the additional functions needed to ensure proper operation of the Learning Center. For example, daily package counts, registration lists, weekly/monthly reporting, surveys, etc.
  • Detail events or happenings and communicate with soft service groups to insure flawless execution on the vision
  • Support the plans for the workplace to meet organizational goals and objectives through workplace experience
  • Greet Customers, escort to appropriate conference room
  • Guide customers looking for food and beverage for their meeting or event. Review food set up and presentation with food service team
  • Set up and troubleshoot AV within the spaces - working knowledge of WebEx, Video Conference and Click-Share equipment.
  • Maintain quality, integrity and proper operation of the workspace, ensuring all furniture, fixtures and equipment are in excellent condition
  • Place facility work orders, following up for completeness
  • Follow-up with customers/guests to ensure satisfaction

Preferred Qualifications:

  • Minimum of two years of planning experience, in a conference center & hotel environment
  • Excellent organizational skills, with the ability to prioritize tasks and juggle many tasks simultaneously
  • Ability to work in high-pressure situation while maintaining a professional and appropriate demeanor.
  • Superior quantitative, oral and written communications and problem-solving/strategizing skills
  • Tact and diplomacy to communicate with all diverse groups.
  • Good judgment, professional appearance and manner, patient, friendly and calm demeanor
  • Excellent overall computer skills with advanced knowledge of Excel and PowerPoint
  • Proactive mindset to anticipate and support changes in our business
  • Conformity to the highest standards of personal integrity and ethical behavior
